Estimate follow-up messages for your next job

Identify the job, ask one clear question and make the next step easy. Refer to the actual estimate and agreed dates; do not imply that the customer has already accepted.

Confirm the estimate arrived

Use a short message to check receipt. Replace the bracketed details and choose timing appropriate to your conversation.

Hi [name], I sent the estimate for [job] on [date]. Did it reach you? If you would like me to explain any of the items, I’m happy to help. Thanks, [your name].

Invite questions about scope

The customer may need clarity rather than a discount. Invite questions without promising changes you have not priced.

Hi [name], I’m following up on estimate [number] for [job]. Do the included tasks match what you had in mind? Let me know if you would like to discuss the scope before deciding. Thanks, [your name].

Close the loop respectfully

After following up without a reply, leave the decision with the customer. Mention a validity date only if it is genuinely part of the estimate.

Hi [name], just closing the loop on the estimate for [job]. If the project is on hold, no problem. If you would like to revisit it later, please get in touch and I can reconfirm the scope, availability and price. Thanks, [your name].

Choose timing from the conversation

There is no universal best interval. Use the date the customer suggested, the project timetable and the estimate’s actual validity period. Avoid repeated messages when the customer has declined or asked you to stop.

If the customer requests changes, revise the scope and price explicitly. A question about the estimate is not acceptance.

Keep track of the next step

  • Check the name, job and estimate number.
  • Attach the correct document version through your usual channel.
  • Ask one clear question.
  • Record the next step so you do not follow up twice by mistake.
